Job Title: Church Administrator
Overview: This is a new position at Cherry Hinton Baptist Church. The church’s administrative tasks are currently being carried out by the Pastor who is also the Church Secretary, and we are seeking someone to take on responsibility for some of these duties. The role of administrator is to manage office operations, to assist church leaders and volunteers, and to support the smooth running of church activities.
Start Date: 1st September (or earlier by mutual agreement)
Hours: 10 hours per week, with flexibility about how those hours are distributed across each week or between weeks.
Location: Approximately 2 hours per week should be spent in the Church office. The remaining hours can be completed either in the office or remotely.
Key responsibilities:
You will carry out a selection of the tasks listed below, to be agreed in consultation with the Church Secretary. After an initial handover period, you will be expected to take full responsibility for managing your agreed tasks.
- Managing the Family Centre bookings for regular users, including maintaining the diary, issuing invoices and tracking payments.
- Keeping the church website and diary up to date.
- Producing fliers and posters to advertise regular activities and seasonal events.
- Assisting with administration of large events, such as the church weekend away and children’s holiday club.
- Managing petty cash.
- Assisting the Church Secretary with relevant research on matters as they arise, such as sourcing of equipment, legal guidance and tradespeople.
- Assisting leaders with church service preparation such as formatting PowerPoint slides, sourcing illustrations and filing sheet music.
- Ensuring the church office is well-stocked with necessary supplies and equipment.
- Maintaining secure and organised filing systems for church records and personal data.
- Organising and maintaining church records, files, and documentation in accordance with the church’s policies and data protection regulations.
Essential skills and qualities:
- Proficient in, or willing and able to become proficient in, using a range of software including Excel, PowerPoint, Word, and Drupal (for church website management).
- Confident in carrying out internet searches, sending emails, scanning and printing documents, and participating in remote meetings.
- Understanding of the importance of complying with data protection regulations and maintaining confidentiality.
- Well organised, with excellent attention to detail.
- Strong time-management skills, with the ability to prioritise tasks and manage your own workload independently.
- Good written and verbal communication skills, and a professional, friendly manner.
- Ability to analyse problems and identify appropriate solutions in collaboration with others.
- Good interpersonal skills, and the ability to work well with a wide range of people.
Code of Conduct: You will be required to understand and agree to the church’s code of conduct (www.ch-bc.org.uk/code) and to have an understanding of how the church operates (www.ch-bc.org.uk/how).
Equipment: Details are negotiable, but it is suggested that you use your own laptop and phone while the church will provide the necessary software (e.g. Office 365).
Supervision: The Church Secretary will serve as your line manager and provide support and training for all tasks.
Rate of Pay: £7,800 per year. (This is a pro-rata amount based on the Baptist Union’s recommended stipend, which is reviewed annually to reflect inflation).
Holiday: 60 hours per year of paid holiday, to be taken in school holidays whenever possible. An allowance for bank holidays is included in these hours.
Sick pay: Full pay for the first 1.5 months, followed by half pay for up to 3 months, provided the employee has been in post for at least 4 months.
Pension: Employer’s contribution is 10% of salary.
Probation: This is a permanent position, subject to a 3-month probationary period.
