1. Capacity:, The recommended capacity is up to 50 people in the Main Hall (7.2 x 8.3 x 2.9 m) and 25 in the Meeting Room (4.1 x 6.4 x 2.3 m). However, Cherry Hinton Baptist Church (the Church) will consider bookings up to a maximum capacity of 98 in the Main Hall and 48 in the Meeting Room.
2. Permitted Use: The Family Centre may only be used by the organisation and for the purpose and duration approved in the original application. Activities must be compatible with Christian values and must not promote any other religion.
3. Prohibited Activities: The following are not allowed: alcohol consumption, smoking, and watching TV programmes using mains-powered equipment (e.g. iPlayer). Animals are not permitted, except for guide dogs, hearing dogs, or wellbeing dogs. In the case of wellbeing dogs, their presence must be agreed upon by all other attendees of the booking. The User is responsible for cleaning up any mess or hair left by the animal.
4. Safeguarding: Where the User works with children or vulnerable adults, they are responsible for safeguarding and must comply with the relevant legislation. This includes having a Safeguarding Policy, conducting DBS checks, and supervising all children in the lobby, kitchen, rooms hired, and car park. Where children arrive early for classes this supervision is either done by parents or by the User.
5. Health and Safety: The User is responsible for the safety of all attendees of the booking for the entire duration of the booking. They must follow their own Health and Safety Policy and Risk Assessments, which must comply with the Church’s Health and Safety Policy. Key requirements:
- Clean up spills immediately.
- Stack plastic chairs no more than 8 high and fabric chairs no more than 5 high; all plastic chair stacks must face the wall.
- Use the chair trolley for moving chairs.
- Record any accidents in the Accident Book (located in the Kitchen).
- Follow the Fire Safety Plan.
- Fire exits must remain clear and unlocked during use.
- Electrical equipment brought in must be PAT tested. Cables must be positioned safely to avoid tripping hazards.
6. Kitchen and Shared Facilities: Both rooms include access to the kitchen. The User must follow the Kitchen Policy. If only one room is booked, the kitchen, toilets, and car park may be shared. Exclusive use of the kitchen costs an additional £4/hour (Meeting Room) or £3/hour (Main Hall).
7. Cleanliness and Locking Up: The User must leave the Family Centre clean and tidy. Furniture and equipment (including kitchen items) must be returned to their original locations. Bins must be emptied into the correct outside bins: Green (food and cardboard), Blue (paper, glass, and plastics), Black (landfill). If another group is not immediately using the building, all lights must be turned off; all doors and windows securely closed and the front door locked. If a front door key is provided then is must not be copied. If a front door key is not provided the front door should be locked from the inside and the User leave through one of the self locking side doors. The User must include time for setup and clean-up in the booking period.
8. Parking: Parking is available in marked bays in the Car Park: 3 bays for the Meeting Room, 4 bays for the Main Hall. Cars are parked at the owner’s risk. The first person to arrive should open the gate; the last to leave must close it. Do not park on the grass next to the drive. Please keep noise to a minimum and vacate promptly after your booking. On-street parking is available on Fishers Lane.
9 Liability and Insurance: The User agrees that the Church accepts no responsibility for any injury or loss to persons or property arising from the use of the Family Centre, except where such injury or loss results from the Church’s failure in its responsibility for the general maintenance of the Family Centre. The User shall indemnify the Church against any claims arising from incidents for which the Church is not responsible. The User is responsible for obtaining their own public liability insurance.
10. Responsibility for Damage: The User is responsible for any damage caused to the Family Centre, including its fixtures, fittings, and equipment, except for reasonable wear and tear.
11. Reporting Issues: The User must report any defects or problems with the Family Centre or its contents to the Church as soon as possible. The User must also report to the Church immediately by mobile phone if people enter the Family Centre who are neither on the Church Staff List nor are attending either the User’s activity or another activity booked in the other room.
12. Non-Discrimination: The Church welcomes bookings for community and social events and does not discriminate based on race, gender, religion, disability, sexual orientation, or age.
13. Payment: The agreed fee must be paid in advance of the booking. As of 1 November 2023, the rates are £13.50 per hour for the Main Hall, £8 per hour for the Meeting Room, or £20 per hour for both rooms.
14. Booking Terms: Firm bookings can be made up to the start of the next term (if booked in the first half of the current term), or to the end of the next term (if booked in the second half). Provisional bookings can be made further in advance.
15. Control of Premises: The Church retains full control, possession and management of the Family Centre. The User must not prevent Nominated Church Members from accessing the building. Photos of the Nominated Church Members are displayed inside the kitchen cupboard.
16. Termination of Agreement: The Church may cancel the booking, and future bookings made by the User, with immediate effect if the User breaches any of these Terms and Conditions or behaves in a way the Church considers inappropriate.
